1. Acceptance of Terms

By booking any program or service with Wild Bhiza (“we,” “us,” or “our”), you (“the participant” or “you”) agree to be bound by these Terms and Conditions. For participants under 18 years of age, a parent or legal guardian must accept these terms on their behalf.

Please read these terms carefully before making your booking. If you do not agree with any part of these terms, please do not proceed with your booking.

2. Booking Process

2.1 How to Book

2.2 Booking Confirmation

Your booking is confirmed once we receive:
1. Completed booking form with all required information
2. Signed medical declaration form (where applicable)
3. Payment of the required deposit or full amount (see Payment Terms below)
4. Proof of valid travel insurance (for volunteers and overnight stays)

We will send you a written confirmation via email once all requirements are met.

2.3 Provisional Bookings

Provisional bookings (without payment) will be held for 7 days and then automatically released if no written confirmation or payment is received.

3. Payment Terms

3.1 Accepted Currencies

We accept payment in:
– US Dollars (USD) – primary currency
– British Pounds (GBP)
– Euros (EUR)

All prices are quoted in USD. Payments in GBP or EUR will be converted at the prevailing exchange rate at the time of booking.

3.2 Payment & Deposit Requirements

Village Horse Riding Tour (Day Tour):
– 100% payment is required to confirm your booking.
– This payment is non-refundable within 24 hours of the tour start time (see Cancellation Policy).

Authentic Homestead Stay with Horse Riding (Stay & Ride):
– 50% deposit required to confirm your booking.
– The remaining 50% balance is due 30 days before your stay.

Volunteer Programs (1–4 weeks):
– 30% deposit required to confirm your place.
– The remaining 70% balance is due 60 days before the program start.

3.3 Late Payment

If we do not receive full payment by the due date, Wild Bhiza reserves the right to:
– Treat your booking as cancelled under the relevant cancellation terms
– Retain deposits and any payments due under Section 4
– Release your reserved dates to other participants

3.4 Payment Methods

  • PayPal (processing fees may apply)
  • Cash payment on arrival (by prior arrangement only, for day tours booked locally)

Important: All bank charges, transaction fees, and currency conversion fees are the responsibility of the participant. Please ensure the full amount reaches our account.

4. Cancellation Policy

4.1 Cancellations by Participant

All cancellations must be submitted in writing via email to hello@wildbhizastables.com. Cancellation is effective only when acknowledged in writing by Wild Bhiza.

Village Horse Riding Tour (Day Tour):
– To receive a full refund, please cancel in writing at least 24 hours before your scheduled tour.
– Cancellations made less than 24 hours in advance, no-shows, or arrivals more than 30 minutes late are not eligible for a refund (100% of the tour price is forfeited).

Authentic Homestead Stay with Horse Riding (Stay & Ride):
– More than 30 days before the start of your stay: Your 50% deposit is refundable or can be transferred to new dates within 12 months (subject to availability and any price changes).
30 days or less before the start of your stay: 100% of the total stay cost is non-refundable. No refunds on deposit or balance.
– No-show or late arrival (30+ minutes for first activity/transfer): No refund. All payments forfeited.

Volunteer Programs (1–4 Weeks):
– More than 60 days before program start: Full refund minus a $300 administration fee, or transfer your deposit to new dates within 12 months (subject to availability and any price changes).
31–60 days before program start: No cash refund, but you may move your dates once within 12 months (subject to availability and any price changes).
30 days or less before program start: No refund and no date changes. All payments forfeited.

4.2 Cancellations by Wild Bhiza

We reserve the right to cancel your booking in the following circumstances:
– Insufficient participant numbers
– Unsafe weather conditions
– Horse welfare concerns
– Force majeure events (see Section 10)

If we cancel your booking:
– Full refund of all payments made, OR
– Transfer to alternative dates at no additional charge

We are not liable for any additional costs you may incur (flights, accommodation, etc.) if we must cancel your program.

4.3 Early Departure

If you choose to leave your program, stay, or tour early for any reason, no refunds will be provided for unused days or services.

4.4 Termination for Misconduct

If your program is terminated by Wild Bhiza due to:
– Violation of safety rules
– Inappropriate behaviour toward staff, horses, or community members
– Intoxication or substance abuse
– Failure to disclose medical conditions

No refunds will be provided, and you will be responsible for all costs associated with your early departure.

5. Changes to Your Booking

5.1 Changes by Participant

If you wish to change your confirmed booking (dates, program type, etc.):
– Administration fee: $40 per change
– Plus: Any difference in program cost
– Plus: Any charges imposed by suppliers (accommodation, transfers, etc.)

Changes are subject to availability and must be requested in writing.

5.2 Changes by Wild Bhiza

While we make every effort to deliver programs as described, we reserve the right to make changes due to:
– Weather conditions
– Horse health and welfare
– Local community circumstances
– Safety concerns
– Operational requirements

Minor changes (e.g., slight itinerary adjustments, different horses) will not entitle you to compensation.

Major changes (e.g., significant itinerary changes, accommodation changes) will be communicated as soon as possible, and you will have the option to:
– Accept the changes, OR
– Cancel with full refund

6. Travel Insurance

6.1 Mandatory Requirement

All volunteers and overnight guests must have valid travel insurance for the entire duration of their program or stay. Your insurance must cover:
– Medical expenses and emergency medical evacuation
– Repatriation
– Personal accident
– Lost or delayed baggage
– Trip cancellation and curtailment
– Personal liability
– Activities involving horse riding

6.2 Proof of Insurance

You must provide proof of insurance before your program or stay start date. Failure to provide proof may result in your booking being cancelled with no refund.

6.3 Recommended Coverage

We strongly recommend purchasing insurance that includes:
– ACE Air Cover (or similar) for medical evacuation in Zimbabwe
– Coverage for adventure activities and horse riding
– Cancel-for-any-reason coverage (if available)

7. Health, Safety & Participant Requirements

7.1 Medical Declaration

You must complete our medical declaration form honestly and accurately (for volunteers and overnight guests, and where requested for riders). You must disclose:
– Any medical conditions (physical or mental)
– Allergies
– Current medications
– Dietary requirements
– Previous injuries relevant to horse riding

7.2 Fitness Requirements

Participants must be:
– Able to mount and dismount a horse (with assistance if needed)
– Able to walk on uneven terrain
– Able to participate in daily activities for 4–6 hours
– Within our weight limit: Maximum 90 kg (196 lbs)

7.3 Age Requirements

  • Volunteer Programs: 18–80 years
  • Day Tours: 8–80 years (minors must be accompanied by an adult)
  • Overnight Stays: All ages welcome (children must be supervised)

7.4 Vaccinations & Health Precautions

It is your responsibility to:
– Consult your doctor or travel clinic before travel
– Obtain required vaccinations for Zimbabwe
– Bring sufficient medication for your entire stay (in original packaging with your name)
– Take malaria prophylaxis if recommended

7.5 Indemnity & Assumption of Risk

By participating in Wild Bhiza programs, you acknowledge that:
– Horse riding and farm activities carry inherent risks
– You participate voluntarily and at your own risk
– You will follow all safety instructions provided by our guides
– You release Wild Bhiza, its staff, and partners from liability for injury, loss, or damage except where caused by our negligence

All participants must sign our indemnity form before participating in any activities.

8. Passport, Visa & Travel Documents

8.1 Your Responsibility

It is your sole responsibility to ensure you have:
– Valid passport (with at least 6 months validity beyond your travel dates)
– Correct visa for Zimbabwe (tourist visa or volunteer visa as required)
– Sufficient blank pages in your passport
– Any required transit visas

8.2 Visa Requirements

  • Tourist Visa: Available on arrival at Victoria Falls Airport for most nationalities (approx. $30–$50 USD).
  • Volunteer Visa: May be required for programs longer than 30 days – check with the Zimbabwe embassy.

Wild Bhiza is not responsible for denied entry due to incorrect documentation. No refunds will be provided if you cannot enter Zimbabwe.

9. Accommodation & Meals

9.1 Accommodation Standards

  • Volunteer Programs: Traditional homestead accommodation (shared, rustic, off-grid)
  • Overnight Stays: Traditional homestead (private for your group, rustic, off-grid)

Accommodation is clean, safe, and suitable for volunteers and guests, but may not meet Western hotel standards. Facilities include:
– Outhouse toilets and showers
– Solar lighting (limited electricity)
– Shared spaces

9.2 Meals

  • Volunteer Programs: All meals included (self-catering breakfast/lunch, home-cooked dinners)
  • Day Tours: Refreshments, snacks, tea/coffee, juice, water
  • Overnight Stays: All meals included (traditional dinner, breakfast, brunch)

9.3 Dietary Requirements

Please inform us of any dietary requirements or allergies on your booking form. We will do our best to accommodate, but options may be limited in rural Zimbabwe.

10. Force Majeure

Wild Bhiza will not be liable for failure to perform our obligations due to circumstances beyond our reasonable control, including but not limited to:
– Natural disasters (floods, droughts, earthquakes)
– War, civil unrest, terrorism
– Government restrictions or border closures
– Pandemics or public health emergencies
– Strikes or labour disputes
– Severe weather conditions

In such events, we will work with you to reschedule or provide alternative arrangements where possible, but we are not liable for refunds or compensation for costs incurred.

11. Liability & Limitations

11.1 Our Liability

Wild Bhiza and its staff will exercise reasonable skill and care in providing services. However, we are not liable for:
– Injury, illness, or death not caused by our negligence
– Loss or damage to personal property
– Delays or changes due to third parties (transport providers, etc.)
– Consequences of your failure to follow instructions or safety guidelines
– Events beyond our control (Force Majeure)

11.2 Maximum Liability

Our maximum liability to you for any claim (except for death or personal injury caused by our negligence) is limited to the total amount you paid for your program or stay.

11.3 Third-Party Services

Where we arrange third-party services (transfers, Victoria Falls activities, etc.), these are subject to the terms and conditions of those providers. We act only as an agent and are not liable for their performance.

12. Complaints & Dispute Resolution

13. Photography & Marketing

By participating in Wild Bhiza programs, you grant us permission to:
– Take photographs and videos of yourself during activities
– Use these images on our website, social media, and marketing materials
– Share testimonials or reviews you provide

If you do not wish to be photographed or have images used, please inform us in writing before your program.

14. General Provisions

14.1 Entire Agreement

These Terms & Conditions constitute the entire agreement between you and Wild Bhiza and supersede any prior agreements or representations.

14.2 Severability

If any provision of these terms is found to be invalid or unenforceable, the remaining provisions will continue in full force and effect.

14.3 Amendments

Wild Bhiza reserves the right to amend these terms at any time. Amendments will be posted on our website and apply to bookings made after the amendment date.

Treat all horses with kindness, patience, and respect.

Follow proper grooming, saddling, and riding procedures as instructed by the staff.
